An Introduction to Document Archiving
Some people may find the idea of discussing an archiving system somewhat old fashioned. In the age of Web 2.0, social networking, paperless documentation, and also documentation on demand, the whole process of archiving does not sound interesting at all. Interesting or not, document archiving is becoming more complex and more important than ever before.
In today’s time, the amount of data that is being produced and stored is much greater than ever. This amount is increasing each day. This is the first major reason why document archiving has become so complex now. Then again, a lot of new media and formats are being used to store the huge amount of data. Also, we do not yet have the sufficient amount of data to be sure about the reliability of the new media and formats that are being used. These are just a few major reasons and these reasons are increasing exponentially as we head into the future. Since it is quite impossible for us to be absolutely sure about a media or format’s long term reliability, several different media and formats are needed to be used in order to archive critical data.
The biggest challenge behind modern archiving is to be aware of where, what, and how often one should. But for most companies and organisations, it is not as easy to answer these questions. Setting up knowledge management is somewhat similar to establishing archiving processes. Both of them need some tedious internal structuring and organisational work in analysing data.
Most of today’s documents are electronic documents. Handling electronic documents are a lot easier than handling paper documents. Electronic documents can be handled a lot efficiently than paper documents as well. This is why most of the paper documents are being transformed into electronic documents by scanning those paper documents. That is why the scanning services are in demand now – a – days.
